The Task List is the source of truth. Each row captures Category, Task, Status, Priority, Date Created, Deadline, Days Left, Resolution, and Date Completed, plus fields for Description, Assignee, and Notes. The Days Left column does the math for you against today’s date, so missed deadlines stop being a surprise (they show up as negative numbers, which is exactly the visibility you want).

The Kanban Board sheet then takes those rows and sorts them into three columns — To Do, In Progress, and Complete — with a count above each lane so you can spot a bottleneck immediately. Cards show the task title, priority, and owner, and the board header carries the Project name, a Last Updated date, and an “Include Canceled Tasks?” toggle for when you want to review what got dropped. Because the board is driven by your task list, changing a status on the list moves the card on the board the next time the sheet recalculates.

The Dashboard sheet rounds it out with two pie charts — Tasks by Status and Tasks by Priority — so you can answer “where is the work concentrated?” without writing a single formula. This is the view to share in a Monday stand-up or to screenshot into a status email. It is also the fastest way to notice when most of your open work is stacked at High priority, which usually means your priority field needs a real conversation, not a redesign.
