What does the Bench & Capability Tracker do?

It runs your bench from one connected workbook, across six tabs:

  • Bench Roster — everyone you can call on: discipline, day rate, days a week available, when they’re next free, and how to reach them. The name here is the key every other tab reads from.
  • Capability Matrix — who can do what. Set each contractor’s level per skill from a dropdown — Can lead, Can do, Learning, or a dash — colored so the whole bench’s coverage reads at a glance, with a coverage count per skill so a thin spot is obvious.
  • Assignments — every current commitment of a contractor’s time: project, client, days a week, and a status. Only the Active rows count toward utilization.
  • Bench & Utilization — the staffing board. Each contractor’s booked, free, and utilization with an availability flag — plus a Staffing Finder: pick a skill and the board shows, for every contractor, whether they’re qualified and free, flagging the ones you can Staff now.
  • Dashboard — bench health: free now, over-allocated, average utilization, coverage by skill, and your day-rate range, all pulled live.

The Staffing Finder: two questions, one answer

When a brief lands, “who can I staff this with?” has two parts — who’s qualified and who’s free — and the wrong answer to either is useless. The Staffing Finder combines them: pick a skill, and for every contractor the board reads their level from the capability matrix and their availability from the utilization board, then flags the ones who are both Staff now. A qualified-but-booked contractor shows as Qualified · busy, so you know who to chase if the timing can flex. It turns a memory test into a filter.

It does not classify anyone: whether a worker is an independent contractor or an employee — and the tax, legal, and insurance obligations that follow — is defined by the law where you are and your own advisors, not by this file. The example agency, contractors, and rates are fictional and illustrative. Keep contractor data the way your own privacy policy requires.
